Data we hold about our working relationship

Once we begin working together, and as our work continues over time, we keep business records relating to the projects we complete for you. These records sit within our own studio management system and are separate from the data you submit through this website.Billing records. Where we have invoiced you, we retain the billing details needed to invoice you again and to keep accurate financial accounts: the name and address of the person or company billed, a billing email address and phone number, the currency used, and the method by which payment was last made.Project records. We keep a record of each piece of work we complete with you. For each project this may include the artist or band name, the title of the work, our role on the project, the location and date of the work, the software used, and — where the music is publicly released — the release date and a link to the released recording on streaming services.

Business analysis

We use our own billing and project records to understand and improve our business. This includes working out summary figures such as how long we have worked together, the kind of work we most often do for you, how our projects are distributed across genres and over time, and equivalent totals across our work as a whole. This analysis is drawn from records we already hold; we do not collect anything additional from you for it, and we do not use it to make automated decisions about you.The lawful basis for keeping these records and carrying out this analysis is our legitimate interests under Article 6(1)(f) of the UK GDPR — specifically, our interest in administering our business, maintaining accurate accounts, and keeping a record of our professional body of work. We have considered your interests and rights in reaching this position, and the processing is limited to what is necessary for these purposes. Keeping financial records is also necessary to meet our legal obligations (see How we store your data, below). You have the right to object to processing based on legitimate interests; see Your rights.

How we store your data

Form submissions are processed and stored by Webflow, Inc., our website platform provider. Submitted data is also delivered to and stored in our email system, provided by Fastmail Pty Ltd. Both services are reputable third party processors operating under appropriate data protection agreements.

We keep different records for different lengths of time. We retain financial and billing records for a minimum of six years, as we are required to do under UK tax law. We retain project records (the details of the work we have completed) for the long term, as a record of our professional body of work; the music industry places significant importance on the preservation of detailed project records, which may be needed years or decades after a project's completion for documentary, licensing, or historical purposes. The lawful basis for this longer retention is our legitimate interests in maintaining an accurate record of our work.

If you would like your personal data removed from our records and have no outstanding or ongoing projects with us, please contact us at privacy@centric-engineering.com. We will consider each request on its own facts, bearing in mind any financial records we are legally required to keep and our legitimate interest in retaining project records.

International Transfers

Some of the third-party services we use are based outside the United Kingdom, including in the United States. This means your personal data may be transferred to, and stored on, servers outside the UK. Where this happens, we rely on our providers' transfer safeguards — such as the UK extension to the EU–US Data Privacy Framework, or the International Data Transfer Agreement and equivalent contractual protections — to ensure your data receives a level of protection consistent with UK data protection law.
